Quality check

The main goal of KleanApp is quality control. One room in the object is individually controlled and evaluated in detail. The protocol function can be used to document audits and joint inspections. The quality reports provide a comprehensive overview of cleaning quality with graphics, statistics and images.

AdHoc and planned controls (also in accordance with DIN 2859-1)

For AdHoc controls, select the rooms to be controlled. For scheduled checks, the random generator creates a list of the spaces in the object to control according to your criteria. You can choose DIN 2859-1 or other spatial data as criteria.

Integration of your service directories

You can fully integrate your service directories in KleanApp or set the control objects by usage type or room groups.

Managing master data

You can make all important settings (intervals, evaluation mode, control objects, etc.) on the system at any time.

Tickets

A ticketing system is a software function that makes it possible to professionally record, process and track customer concerns (tickets) such as offers, complaints or malfunctions.

Automatic tickets for rework and follow-up

As part of the quality controls, the system automatically creates tickets for rework in the event of poor reviews. Post-checks can also be created automatically via the system. Through a sophisticated permission system, the tickets end up with the responsible person in real time.

Involvement of customers and visitors via QR code

Customers and visitors can use a QR code in the toilet .B to report abnormalities and defects. In addition, tickets can also be reported via an object-specific link.

Integration of existing ticket systems (by e-mail)

KleanApp can convert incoming emails into tickets and assign them to the right object or employees. In this way, you can also integrate existing ticket systems.

KleanApp offers various possibilities of digital time recording.

Barcode, NFC, iBeacons, Phone and Terminal

KleanApp supports barcode and NFC tag scanning methods, as well as time tracking via telephone and terminals. Depending on the project and conditions on site, you can choose between the individual methods.

Real-time alerts (optional with GPS tracking)

Numerous alerts support you in your daily work. You will be informed in a timely manner if an employee does not appear in the object or if there are any abnormalities (scan outside the object). So you can act before your customer complains.

Reporting

All data can be processed in reporting and exported for further processing. The arrivals and absences of your employees are clearly listed in real time.

Finances

The entire process from quote to final invoice - including work orders and special services - is mapped in KleanApp.

With KleanApp, you can quickly create quotes from pre-made text modules for various services - whether one-time orders, monthly flat rates, or work order-based billing.

Work orders and special services

Your employees can have work orders digitally signed by the customer on-site via our app. The signed work order is then immediately sent by e-mail to the back office. Non-commissioned spontaneous assignments can also be quickly recorded on-site and confirmed by the customer with a signature.

Invoices

Invoices can be generated from orders at the push of a button, either individually or as a complete billing run. Work orders and special services are automatically attached to the invoice as PDF with customer signature.

CRM

Our CRM module documents and manages all communication between your back office and your customers.

Clear presentation

When a customer calls, your employees see all important processes at a glance - all e-mails, tickets, notes and calls.

Both incoming and outgoing e-mails from your back office and your customers can be automatically imported into KleanApp and assigned to the corresponding contacts.

Define form fields yourself

From our website you create individual form fields and via the app the form can then be accessed, filled in, signed and stored. Photos can also be integrated as evidence.

You can design the result (completed form as a PDF document) yourself and supplement it with your company logo and color scheme.

Vehicle fleet (GPS tracking) and driving licence control

Driving licence control is an essential part of fleet management. Any company that provides its employees with service or pool vehicles must regularly check the driver's licenses of its employees. With the GPS tracking of the vehicles, we supplement the vehicle fleet module.

A GPS tracker is installed in the vehicle. On a map you can follow the paths and locations of your vehicles live.

Driving licence check

Authorized people in your company can use our app to control employees' driving licences. The app automatically creates the next inspection and a reminder for each employee according to your specifications (monthly, every three months, etc.). This variant does not require a license for the individual employees.

Driving licence self-control

Using an NFC chip on their driver's license, employees can scan their driver's license using the app. The driving licence control is thus documented. Missing controls are clearly displayed on the website.

Inventory and DGUV testing

With our Inventory module, you can record your electrical equipment such as vacuum cleaners, track the location, document DGUV tests and be reminded of the tests that are due.

DGUV tests

You will receive a monthly overview of which devices are pending a DGUV check and where these devices are currently located. The devices are collected, driven to the warehouse and tested there by a specialist. The inspection date is documented and the documents are stored in the device.

Which device is located where

By scanning the barcode, you can see exactly which device is where. When an employee takes the device from the warehouse to an object or takes a device from one object to another, the object is selected and then the barcode is scanned. The device is automatically mapped to the new object.

Export for accounting

Your accounting can export the data as a list for calculating annual depreciation (fixed assets/GWG).

Dashboard, form, and report designers

We have three different tools that allow you to customize and customize forms, reports and our dashboard to your needs.

The form designer

In KleanApp, you can digitize as many forms as you want and deploy them to the app for editing. With our new designer, you can also customize the results (PDF files) with logo or the like.

The Dashboard Designer

In addition to our default dashboard, you can create various custom dashboards to create the information you care about. With an individual dashboard, the individual functions (object manager, internal service and management) get exactly the evaluations and information you need for your daily work.

The report designer

We already offer you some standard reports and existing filters can be analyzed optimally. In addition, you can compile your own reports and design them visually appealing and clear with our report designer. The generated reports can then be retrieved as a PDF file or Excel file with a click.

Trainings

With our Training module, you can manage, conduct and track the training, training and safety instruction of your employees. You will be informed of the training required.

Conduct training through the app

Object lines can play videos and training materials from the tablet. The employee confirms the participation by signature on the tablet. The training participation and the confirmation with signature is documented on the website. You achieve a consistent quality by using predetermined training materials.

Manage training

On the website you can create new trainings and manage existing ones. You can specify which employees or functions this training is mandatory for. In large companies, individual areas can also be defined in which training is indispensable (cleanroom, production).

Identify and analyze training needs

You can clearly see when which training/instruction will expire and which employees need to be retrained and when. You can then adjust your planning to it.

Keys

The handover of keys and other important items to employees can be tracked with this feature.

Precise identification of keys

Each key ring is equipped with an NFC tag. By reading the tag, the key ring can be uniquely identified.

Recipient's signature

The employee receiving the keys signs on the display of the issuer's mobile phone or tablet. This ensures precise documentation of the handover.

Schedule

With the Duty Roster module, you can set working and assignment times for your employees and the managed objects, keeping an overview of personnel utilization and scheduling.

Working time window and weekly working hours

You can enter possible start and end times and the maximum working hours per weekday for your employees, as well as the contractual weekly working hours. For the object, you can specify the time window in which cleaning is permitted.

Assignment via Drag&Drop

Through the interactive calendar view, you can schedule employees to objects. You can create the duty roster by object or by user. Assignment is done easily via Drag&Drop, time and recurrences can be edited afterwards. The display of the difference between target and actual hours allows you to track employee and object utilization.

Target / actual hours in time tracking

The target hours for employees and/or objects are transferred to time tracking and can be compared and analyzed there.

Appointments/Tasks

The Appointments and Tasks modules allow upcoming events to be captured digitally. The calendar view gives employees a comprehensive overview, as all important events from other KleanApp modules come together here.

You can create and manage appointments for your employees. Important events from other KleanApp modules are automatically transferred as appointments: due tickets, tasks, planned inspections, target hours from interfaces and from our duty roster, as well as data from the Cleaning Documentation module. Through the calendar view in the app and web and automatic push notification, you and your employees will never miss important events again.

Tasks - keep track of what has been completed

With the Tasks module, you can assign activities to employees. Unlike the ticket system, tasks are intended for activities that do not require their own workflow like the ticket system. Your employees can check off tasks in the app and you have everything in view on the website.
